Terms and Conditions
1. Booking & Payment Terms
1.1 Deposit
A non-refundable deposit of at least 25% per golfer is required at the time of booking. For destinations such as the UK, Ireland, Scotland, and Europe, suppliers may require larger deposits. In such cases, you will be advised of the required amount before payment is made. All deposits are non-refundable under all circumstances.
1.2 Final Payment
Final payment is due 90–120 days prior to travel, depending on destination and supplier policies. Failure to make the final payment on time may result in cancellation of your booking and loss of deposit and any supplier penalties.
1.3 Booking Confirmation
Your booking is confirmed only when:
Your deposit has been received, and
Beyond Golf Tours Ltd. issues written confirmation.
2. What’s Included & Not Included
2.1 Included
Your travel package includes only the items explicitly listed in your confirmed proposal, such as accommodations, green fees, caddie fees (if stated), breakfast (if included), and ground transportation (if included).
2.2 Not Included
Unless specifically stated, the following are not included:
Airfare and airline baggage fees
Meals not listed in the itinerary
Gratuities
Travel insurance
Personal expenses (laundry, minibar, spa, etc.)
Visas, passport fees, or vaccination requirements
Early check-in, late checkout, or room upgrades
Additional rounds, optional activities, or transportation not listed
3. Changes / Amendments by Client
All change requests (traveller substitutions, rooming adjustments, tee times, dates, etc.) must be submitted in writing at least 60 days prior to travel.
Changes requested within 60 days of travel cannot be accommodated and will be treated as a cancellation of the affected component(s) under Section 5.
All approved changes are subject to:
A Beyond Golf Tours administration fee, and
Any supplier-imposed fees or price differences
For group bookings, changes that alter group size may require a full repricing of the itinerary. Remaining group members are responsible for any additional costs resulting from the change.
4. Cancellation Policy
4.1 Cancellation by the Client
More than 90 days before travel:
The deposit is forfeited (non-refundable).
Within 90 days of travel:
All refunds (if any) are subject to the refund policies of each individual supplier.
Suppliers may impose 100% penalties within this window. Refund eligibility varies by hotel, golf course, and transportation provider.All cancellations must be submitted in writing by the lead traveller or group organizer.
Group Bookings:
If a member cancels, remaining travellers must cover any increased costs due to reduced occupancy, tee time minimums, transportation requirements, or other supplier terms.
5. Changes or Cancellations by Suppliers
Suppliers may modify or cancel components of a trip due to weather, maintenance, operational decisions, overbooking, force majeure, or other circumstances outside our control.
If this occurs:
We will attempt to arrange an equivalent alternative.
If no alternative is available, you will receive a refund of the affected component only.
Beyond Golf Tours is not responsible for additional compensation, inconvenience, missed services, or consequential damages.
6. Unused Services / No-Shows
No refunds or credits are provided for:
Missed tee times
Missed transportation
Early departures
Late arrivals
Unused accommodations or services
Any no-show for any portion of the trip
7. Travel Documents & Entry Requirements
You are solely responsible for ensuring you have:
A valid passport
Required visas or travel authorizations (e.g., ESTA)
Required vaccinations or health documentation
Beyond Golf Tours is not responsible for denied entry, missed flights, or additional costs due to incomplete or invalid documents.
8. Travel Insurance
We strongly recommend purchasing comprehensive travel insurance that includes:
Trip cancellation & interruption
Medical and emergency coverage
Lost or delayed baggage
Supplier default protection
Clients who decline insurance do so at their own risk.
9. Liability & Limitation of Liability
Beyond Golf Tours Ltd. acts only as an agent for independent suppliers. We do not control their operations.
We are not liable for:
Injury, illness, property damage, or death
Weather delays or cancellations
Acts of God, strikes, terrorism, or force majeure
Supplier bankruptcy or operational failures
Missed services or travel delaysIndirect or consequential damages, including loss of enjoyment
Our maximum liability, if any, shall not exceed the total amount paid for travel services booked through us.
10. Group Bookings, Custom Itineraries & Substitutions
Special terms may apply to:
Group bookings
Private/custom itineraries
Special events or tournaments
These will be provided in writing when applicable. Traveller substitutions may be permitted before the 60-day change window, subject to supplier approval and administrative fees.
11. Governing Law
These Terms & Conditions are governed by the laws of Ontario, Canada, and all disputes shall be resolved exclusively in the courts of Ontario.
12. Acceptance of Terms
By paying a deposit or confirming a booking with Beyond Golf Tours Ltd., you acknowledge that you have read and agree to these Terms & Conditions on behalf of yourself and all travellers in your group.
